
IMU provides every student with a web-based email address. This service is referred to as Groupwise and is accessible within IMU's networks and outside of IMU's networks through the internet. All the important notifications to students will be sent out to Groupwise accounts and the maximum storage size for an account is 20 megabytes. Please contact helpdesk/ITS if you do not have a Novell account. If you already have a username and password, kindly refer to the guide below for instructions on how to successfully log in and access you emails. Groupwise Web-based Email and Netmail Email

Main Window:
Toolbars: Allow you to navigate to major areas within Web Access: Mailbox, Compose a message, Address Book, Calendar, Proxy, Help, Options, and Logout. Folder List: Displays a list of the system and personal folders allowing you to view incoming messages and messages that you have sent. Item List: Displays the items that are located in the currently selected folder. Click on a folder name to select it. Others : Update | : | Reloads the items in the list. | Delete | : | Deletes items that have been checked. | Move | : | Moves checked items to other folders. | Accept | : | Once accepted, the appointment, task, or note is removed from Item List in your Mailbox and appears only in your Calendar. Sender can see if you've accepted the item by checking its status information. | Decline | : | Once declined, appointment, task, or note is removed from your Calendar and Mailbox. The status of the item is updated in the sender's Mailbox to show that you have declined the item. If you commented when you declined the item, the sender can read your comments by checking the status information. | Complete | : | The sender of task can see that you completed the task by checking its status information. | Read Later | : | Read Later does not change the status of item in Properties. For example, if you have opened an item, then marked the item unread, the sender of the item still sees the item status as Opened in Properties | Mark Read | : | Mark an email as Read/Opened | | | | NOTE: Details of groupwise can be obtained by clicking on Help link on top-right of the page [Refer to Groupwise Main Window diagram. Composing Email:
1. Click on New icon. 2. Enter in the addresses of the people that you want to send the message to in the To field. Click on the Address Book button to use the Address Book. Separate multiple addresses with a comma. 3. Enter a Subject and the message that you want to send. 4. To change the classification, priority, or to request a reply or return notification, click the Send Options button. 5. Click on the Send button. 6.To change the type of message that you are sending, click on the appropriate button at the top of the window. Address Book:
Searching the email address 1. Open the Address book by either clicking on the Address Book button in the main window or within the Compose window 2. Choose the Address book name that you want to search. 3. Choose the field that you want to use to search by (Last Name will probably give you the best results). 4. Enter the text that you want to use in your search. 5. Click on the Search Address Book button. 6. The search results will appear in the text box located in the bottom left side of the window. 7. Click on the name of a person to view information about that person. 8. To add one of the names listed, click on the name to select it. 9. Click on the TO CC or BC buttons on the right side of the search results. 10. Click on the OK button once you have added all of the names to compose a message to the list of people. Calendar: Views • Click on the Calendar tab on the toolbar or click on Calendar in the Folder list to view your calendar. • Using the HTML Calendar (default), there are 3 views that available using Web Access: - Day – Default view; Shows you the calendar for today - Week – Shows you the current week Sunday through Saturday - Month – Shows you the current month Changing Date Viewed using the HTML Calendar •Using the calendar displayed, click on the date that you wish to view. Click on the arrows at the top of the calendar to change the month. •Select the date that you want to view from the drop down menus and click on the Go Back to the top
Netmail Email (Old Email System) 1.To access your NetMail, type the following in your browser. • Inside IMU: http://netmail.intra.imu.edu.my • Outside IMU: http://netmail.imu.edu.my
1. Key in Student ID number and password. 2. To change password: •Press CTRL+ ALT+Delete. A pop-up window will be displayed. •Insert the old password and new password. Then click OK. Main Window 1.The main window is broken into four parts: Toolbar1, Toolbar2 and Item List.  Toolbar 1 : Help, Settings, Exit  Help | : This button opens up the Netmail help file. | Option | : This button holds opens up customisable setting for Netmail. | Exit | : The exit button logs out the active user. | Toolbar 2 : Refresh, Compose, Address Book, Calendar.  Compose | : This button opens a window for composing emails. | Address Book | : This button contains a listing of emaill addresses. | Calendar | : This button is provides an electronic calender for referencing dates and schedules. | User Proxy | : | Folder List : Add Folder, Delete Folder, Rename Folder  Add Folder | : This button creates a new folder within the users Netmail account. | Delete Folder | : This button deletes the specified folder within the users Netmail account. | Rename Folder | : This button allows user to rename their folder. | INBOX | : This folder contains all incoming emails. | Item List:  Sent Item | : This folder contains all outgoing emails. | Item List | : Checkbox, Subject, Date, Size, From | Checkbox | : This button reloads the items in the list. | Subject | : This button checks all the items in the item list. | Date | : This button unselects all the selected items in the item list. | Size | : This button removes checked deleted items from the item list. | Others : Purge, Purge All, Delete, Undelete, Copy, Move, Read Late,Accept, Decline  In order to manipulate items in your items list, you will have to ensure the items in question have been checked, as illustrated by the red circle: Update | : This button reloads the items in the list. | Select All | : This button checks all the items in the item list. | Clear All | : This button unselects all the selected items in the item list. | Purge | : This button removes checked deleted items from the item list. | Purge All | : This button removes checked deleted items from the ites list. | Delete | : This button deletes items that have been checked. | Undelete | : This button undeletes items that were previously deleted. | Copy | : This button help make copis of checked items. | Move | : This button moved checked items to other folders. | Read Later | : This button changes the status of read emails to unread. | Composing Email in Netmail:

Compose 1. From the WebAccess main window, click Compose. 2. Click Address Book to add recipients in the To, CC, and BC fields. Click Compose when completed adding recipients. 3. Type a subject and message. 4. Click Attach to attach files to the message. 5. Click Send Options to set the delivery status notification.
Delivery Status Notification: When sending an e-mail message, you can configure the delivery status notification so that you will receive a notification message upon successful delivery, failed delivery, or both.
Message Priority: User can set the priority level on a received message as High, Normal, or Low to indicate its importance. The message displays the corresponding priority icon in your mailbox

If you do not want recipients to send reply messages to current mailbox, you can configure a different Reply To address. For example, if you use personal account to send a customer survey, you might want the survey responses returned to another e-mail address. By configuring a different Reply To address before sending the survey, respondents' replies will automatically be addressed to the designated Reply To address.

Creating Rules • Rules are made up of two parts: -The rule conditions that must be met before any action is taken. For example, you can define a condition that looks for your supervisor’s e-mail address in the From field of received messages. -The actions you want to run when the conditions are met. For example, when an incoming message includes your supervisor’s e-mail address, you can set up an action that forwards the e-mail into a specific folder. • Click Help for more detailed information
Address Book in Netmail

To add an entry to your personal Address Book:
1. In the WebAccess toolbar, click Address Book . 2. In the Address Book window, click Create. 3. Specify the contact's name as you want it to appear in the Address Book. 4. If you want to send messages to the entry, make sure you type an e-mail address in the E-Mail Address field. 5.Add information to the other fields as desired. All information is displayed when you select the entry in the Address Book. 6. Click OK.
To address an item:
1. In the WebAccess toolbar, click Compose the type of item you want to create. 2. In the new item window, click Address Book. 3. Mark the check boxes next to the Address Books (Personal, System-Wide, or Public) you want to search. 4. To list all addresses from the selected Address Books, leave the Search For field empty.or To search for a specific entry, type search terms in the Search For field.Single letter search criteria function as wild cards. For example, if you type J as the search condition, the search returns all entries beginning with J. 5. Click Search to display a list of entries that match your search conditions. 6. Mark the box next to the entry you want to add to the item recipient list, then click To, CC, or BC to add the entry to the appropriate field. You can add multiple recipients at the same time by marking multiple check boxes. As you select recipients, they are added to the Current Recipients list. 7. When you have finished selecting item recipients, click Compose. The selected recipients appear in the item's To, CC and BC fields.
To search for an entry in the address books:
1. In the WebAccess toolbar, click Address Book . or When composing an item, click Address Book. 2. Beneath the Search For field, mark the check boxes for the address books you want to search (Personal, System-wide, or Public). 3.Type a first or last name in the Search For field to find a specific contact.orLeave the Search For field empty to list all addresses from the selected Address Books.Single-letter search criteria function as wild cards. For example, if you type J as the search condition, the search returns all entries beginning with J. The Search For field is not case-sensitive. For example, Earl Nelson is the same as earl nelson. 4. Click Search.Entries matching your search criteria appear. 5. To send an item using the search results, mark the entry's check box, then click To, CC, or BC as appropriate. 6.Click Compose to open the new item window.

To schedule an appointment:
1. Click Compose > Appointment. or Click Calendar > Appointment. 2. Click Address Book to add recipients’ e-mail addresses in the To, CC, and BC fields. When you have finished adding recipients, click Compose. 3. Specify your own e-mail address in the To field to create a personal appointment that appears only in your calendar. Specify a location for the appointment. Use the Start Time drop-down lists to specify the month, day, year, and beginning time for the appointment. 4. Use the Duration drop-down lists to specify the length of the appointment in hours or days. User can use the Busy Search feature to check the availability of people. Click Busy Search to check the availability of the scheduled participants and resources. Important: User can Busy Search only within netmail (IMU students) 5. Type a subject and message. 6. If the appointment is going to occur on a regular basis, specify the recurrence settings. 7. Click Send.

Note: Appointment, Task and note sent to outside netmail (external), the item will be displayed as an e-mail in the third parties mailbox. Folders in Netmail: 1. Click the View Mailbox button. 2. In the Folder List, click Add Folder. 3. Type a folder name in the Folder Name field. 4. Select the type of folder that want to be added: Mailbox or Calendar. 5. From the Create In folder list, select the folder or calendar where you want to create the folder. For example, to add a folder inside the Inbox folder, select INBOX. By default, new folders or calendars are added at the root level of the mailbox. 6. Click OK.
